Case study
A planning platform for an organisation with more than 70 members
Meetings, duties, events and reports – planned, built and run by me. In daily use since April 2026.
- 70+
- members use it daily
- since 04/2026
- in use
- 3 ways
- browser · Android · iPhone
- 2,000+
- automated tests
Starting point
Plans lived in spreadsheets, agreements in chats, changes did not reach everyone. Who was on duty, who was away and who had not served for a long time was usually known to one person only – who had to ask around every week.
What was needed was not another list but a tool that shows members of every age their own plan and takes the routine off those in charge.
Everyone sees what is coming up for them
The home screen is a timeline: today, tomorrow, the next 14 days. Your own duties light up, everything else stays quietly in the background.
- Own tasks right inside the relevant meeting
- Absences and events in the same stream
- Push reminders on Android, iPhone and in the browser
Run events live
On a tablet the agenda runs with a time limit for each item. The expected end is always visible – and afterwards a review shows where time was lost.
- One person keeps time, others follow along
- Colour and words for “almost over” and “overrun”
- The review only for those who need it
Fair duty planning
The monthly plan on a laptop: every choice shows at once who is away on that very day, who has not served for a long time and who is already booked. A slip? Just undo it.

All features at a glance
Built step by step from the organisation’s real everyday life.
Planning
“My week”
Everyone sees at a glance what is coming up for them in the next 14 days – own duties right inside the meeting.
A plan that prepares itself
Next month’s plan appears overnight as a draft, in fair order, large events left out; publishing sends one message per person, automatically 7 days ahead if wished.
Fair duties
Absences checked against the real date, “not for a long time” and “already booked” in colour and words; “Fill empty slots” in order.
Events
Live agenda
Items with time limits, one person keeps time, others follow; a review with the course of the deviation.
Guests and speakers
A directory with history: who came when with which topic – the basis for the next invitation.
Board and administration
Tasks and agenda
Agenda with an outcome per item, an item becomes a task with one tap; recurring duties (e.g. the audit of accounts) appear by themselves; print as PDF.
Reports without manual work
Entering attendance appears on the home screen an hour before the start; “did not take place” does not count as zero; the whole year in one table.
Volunteer hours
Time entered after each outing with a wheel; at the end of the month the report assembles itself; entries visible offline.
Trust and data protection
Permissions that really hold
Members see only name, group and role; phone numbers only those in charge. The server never sends protected data – it is not just hidden. Personal fields encrypted.
Nothing gets lost
Undo right after a deletion, a log with before and after, “restore” even a week later – through the same rules as any change.
Operations
Everywhere
Browser, Android app with updates without reinstalling, iPhone as a web app on the home screen; push notifications on all three.
German, Russian, English
Interface and notifications in three languages.
Run safely
Servers in Germany, encrypted backups, every change passes automated checks before release.
How I ensure quality
automated tests check the server on every change.
screens compared before and after every change to the interface.
automated runs on a real Android phone.
